Last updated:

1. Who we are and what this covers

ChatOMT is operated by ChatOMT, LLC (“ChatOMT,” “we,” “us,” or “our”). This policy describes how we collect, use, and disclose personal information through our public marketing website at chatomt.ai and communications relating to demonstrations, institutional partnerships, and other inquiries.

The learning platform has a separate scope. This policy does not describe the processing of account information, conversations, assessments, learning records, or institutional content within the ChatOMT or Didactome platform. Those activities require the applicable product privacy notices and institutional agreements.

Please do not submit patient information, identifiable student records, medical histories, or other sensitive personal information through marketing contact channels.

2. Information we collect

Information you provide

When you contact us, request a demonstration, or discuss a potential partnership, we collect the information you choose to provide. This may include:

  • Your name and contact details, such as your email address.
  • Your institution, organization, role, or job title.
  • Your interests, demonstration preferences, and scheduling information.
  • The contents of your messages and our correspondence.

Information collected automatically

When your browser connects to the website, our hosting and security services may collect technical information needed to deliver and protect it. This may include your IP address, browser and operating system, requested pages or resources, referring URL, access times, and error or security logs.

These records may contain personal information even when you do not complete a form or otherwise contact us.

3. How we use information

We use information collected through the website to:

  • Respond to questions and requests.
  • Arrange demonstrations and related follow-up.
  • Discuss institutional needs, partnerships, and potential use of ChatOMT.
  • Operate, maintain, troubleshoot, and secure the website.
  • Detect abuse and investigate technical or security issues.
  • Keep appropriate business records and meet applicable legal obligations.

If you ask to receive product news or other marketing updates, we use your contact information for that purpose. You can ask us to stop those messages at any time.

4. When we share information

We may disclose personal information in the following circumstances:

  • Service providers. With providers that help us operate the website and manage communications, such as hosting, content delivery, security, email, form-handling, and scheduling services, as needed to perform those functions.
  • Professional advice and legal requirements. With professional advisers, or when reasonably necessary to comply with applicable law or legal process, protect rights and safety, or investigate abuse.
  • Business transactions. In connection with a proposed or completed merger, acquisition, financing, reorganization, or transfer of business assets, subject to applicable confidentiality and privacy requirements.
  • At your direction. When you ask us to share information or otherwise authorize a disclosure.

We do not sell personal information or share it for cross-context behavioral advertising.

5. Cookies and tracking

This website does not use third-party analytics, advertising pixels, or session-replay tools. We do not track visitors across unrelated websites for advertising.

Our hosting or security services may use cookies or similar technologies when needed to deliver the website, prevent abuse, or support essential functionality. You can manage or delete cookies through your browser settings. Blocking them may affect some website functionality.

The website does not change its behavior in response to a browser’s “Do Not Track” signal. Our practice of not selling personal information or sharing it for cross-context behavioral advertising applies whether or not you enable a Global Privacy Control signal.

6. How long we keep information

We retain personal information for as long as reasonably necessary for the purposes described in this policy. Retention depends on the nature of the information, whether an inquiry or business relationship remains active, security needs, and applicable legal or recordkeeping requirements.

When information is no longer needed, we delete it or de-identify it. Copies in backups may remain until those backups expire through their normal retention cycles.

7. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the information we handle. No website, email system, or method of storage can be guaranteed completely secure.

Please limit information submitted through marketing channels to what is needed for your inquiry. Contact us before sending confidential institutional materials.

8. Your choices and rights

You can choose not to provide information through our contact channels, although this may limit our ability to respond or arrange a demonstration. You can stop marketing emails by using an unsubscribe link where provided or contacting us.

Depending on your location and which privacy laws apply, you may have rights to access, correct, delete, or receive a copy of your personal information; object to or restrict certain processing; withdraw consent where processing relies on it; or opt out of certain uses or disclosures.

To make a request, email compliance@chatomt.ai. We may need to verify your identity and authority to make the request. Some requests are subject to legal exceptions. We respond within the time required by applicable law.

Where applicable, you may appeal a decision by contacting us again or complain to your relevant privacy regulator. We will not unlawfully discriminate against you for exercising your privacy rights.

9. External websites and services

The website may link to external websites or services. If you follow one of those links, the external provider’s privacy notice describes its handling of information. Review that notice before providing personal information.

Links to the ChatOMT learning platform do not extend this marketing-site policy to platform activity.

10. International visitors

Information collected through this website may be processed outside your state or country, including in the United States and other locations where our service providers operate. Privacy laws in those locations may differ from the laws where you live.

Contact us if you need information about processing locations or safeguards applicable to your information.

11. Children’s privacy

This website is intended for educators, institutional representatives, and others interested in medical education. It is not directed to children under 13, and we do not knowingly collect their personal information.

If you believe a child under 13 has provided personal information through this website, contact us so we can investigate and take appropriate steps to delete it.

12. Changes to this policy

We may update this policy to reflect changes in the website, our practices, or applicable requirements. We will publish the revised policy on this page and update the date above. Where required by law, we will provide additional notice or obtain consent before making a change.
